What changes between five rooms and fifteen

Owners usually expect the room count to decide this. How many places you sell through matters more, because every extra one is another calendar that has to agree with the rest. Selling on one platform plus your own booking page already leaves you with two calendars to keep in step, and the mistakes show up in your busiest weeks. Your own page matters more than most owners expect, because a night it wrongly shows as gone loses you the whole rate. The other thing that changes the answer is whether you sell two identical rooms under a single listing.

Airbnb is a direct connection on the systems above. Beds24 lists it among the connections that send prices and open rooms out to the platform and bring the bookings straight back, and ResNexus reaches it through Direct Connect. A connection that works in both directions like that is what a vendor means by two way. A calendar link is the fallback for a smaller site that offers nothing better, and dates are all it carries. Rates and minimum stays you still set by hand on that platform. Booking.com tells its partners that a calendar sync can take up to two hours to refresh, and Cloudbeds points out that even a two way calendar link serves only one room type at a time, so pointing one at a type with three rooms behind it will report the wrong number. Is it already inside the software you run?

Your property system almost certainly includes a channel manager, and your plan tier decides it more often than the brand does. eviivo puts the channel manager in every subscription, so there is no tier to get caught out by. Little Hotelier carries it on the cheapest plan. ThinkReservations and ResNexus build their own and include them.

Cloudbeds and Sirvoy are the two to check. Cloudbeds leaves its own out of the entry Flex tier, which expects you to bring an outside partner instead, and bundles it from the second tier up. Sirvoy keeps it on the Pro plan, so a Starter subscription reaches no major booking site at all. Look for it on your own plan page before you price anything else. Most plans include one, and the check further down will tell you whether yours is doing its job. If your plan leaves it out, you now have something specific to shop for.

What happens when two of your rooms share one listing

Most B&Bs never put two rooms under one listing. Your rooms have names, the Rose Room is the Rose Room, and the calendar only ever has to answer yes or no for each one. Some inns sell three identical queen rooms as a single listing called Queen Room, because one listing with three rooms behind it fills better than three listings with one each. Now the calendar has to hold a number instead of a switch, and not every system does.

I co-own MINT @Naschmarkt, 18 serviced apartments in five apartment types, and several identical apartments share one listing under each type. In June one apartment type was on sale for 5 of 30 nights when 26 of the 30 were free. Nothing on the calendar screen looked wrong, and no guest calls to complain about a room they were never offered, so we only found it by reading the availability data underneath. One booking was closing the whole type instead of taking the count down by one.

I run an agency, Ekamoira, so I had a dev team already and we built the fix ourselves. The site now counts how many units are free on each date and keeps the type on sale while that count is above zero. Since that sync went live in May 2026 we have had no double bookings, and the nights it had been hiding are on sale again. I am proud of that piece of work. An apartment group sells several identical units under one listing from its first day of trading, and a B&B does the same the moment it groups two identical rooms, which leaves both calendars with the same counting to do. Ask any vendor you are considering whether its calendar stores a number for each date saying how many rooms are free, or a status for the whole room type.

How do you tell whether the one you have is working?

You need two hours on a quiet day and your own platform logins.

1. Write out every room you sell and the room type it belongs to in your system. Mark any type with more than one room behind it, because a type like that can sell twice while the calendar still looks correct.
2. Open each platform listing and note which of your types it points at. A listing pointing at nothing, or two listings pointing at the same type, is where your next double booking comes from.
3. Mark each connection as a direct one or a calendar link. Every calendar link carries dates only, and the smaller platforms are usually the ones on them.
4. Take a booking yourself on the platform that sends you the most nights, for a date every other platform is currently offering. Then watch the others. The number of free rooms in that type should drop by one everywhere else. If the whole type disappears instead, the fault is in how your rooms are set up, and paying for a higher plan will not fix it.
5. Cancel it, and time how long each platform takes to put that night back on sale. Nights that stay closed after a cancellation are the ones nobody ever reports to you, so this is the step that finds them.

Matching each listing to the right room type is the part no vendor maintains for you. Booking.com names missing mappings, alongside connection problems and differences between your system and the Extranet, as a cause of overbooking at properties that already run a channel manager. Every time you add a room type or rename one, somebody has to redo it.

What does one double booking cost?

Booking.com defines it as more than one reservation for the same room on the same night, usually caused by availability that has not synced across channels, or by a calendar and policies that are not set up accurately. If you have another room free you move the guest and apologize. Otherwise its policy says you have to find that guest a room of the same standard or better and pay for it yourself. In July, when the only other inn in town is nearly full, that means buying their last room at the going rate out of your own pocket.

There is a waiver underneath, and it runs out. Booking.com charges no commission on a double booking while your property has been listed for fewer than 30 days, or while you have had no more than four of them in twelve months. The fifth one costs you commission on a stay you never delivered. Booking.com publishes no commission rate anywhere, so the figure is whatever your own contract says.
